Ive had some posts here and PM's with some great question's so i am going to try and cover each area to the best of My Ability and knowledge, please understand that although im answering the question's it is all down to confirmation with the Organisor's of MEM and soon as i get the correct answer's and confirmation i will of course you let yu guys know too.
Can we sell at MEM - we are classed as a Display addition to the Event rather than Trader's, we are not paying for our Space the MEM organisor's are donating the space to us, so i don't actually know the answer to this question, however there is nothing stopping you handing out Flyer's or buisness card's to promote your work and drum up future after event sale's. Having said that i will ask the question if we can openly sell on the day and get the answer back to you.
How many Passes can i have - If you are displaying then it is one pass per person for the weekend, if you are only there for one day then the pass needs to be handed back to me at the end of the day, as it is non transferable. The pass is not free entry to the Event it is to allow you to display.
How safe will my Props be - I have requested from the MEM organisor's one of the main stage area's that has the stage and the walled section's, if you have been to MEM before this is the area where they sometimes hold the Talks, by requesting this area it ensure's that we can display our Props, Replicas and screen used items against a back wall on tables etc i will then request and would hope that we would have available to us the use of Barriers, the type that pull out and clip together, these then would clip together around the tables about 3 feet, basically making everything out of arm's reach. The public can then wonder around behind the barriers looking at your stuff leaving you comfortable enough to answer any question's and not worry about people picking things up and wondering around the back of your diplays. By adding Barriers and having the tables against walls they should in theory be safe.
There will be plenty of us there to take it in turns looking out for one another's items.
My Hope is the Organisor's of MEM will understand our Items are in most circumstances, One off's, rare, Screen Used, very personal and also very expensive Prop's and Replica's and will ensure these items are kept safe by giving us the appropriate space to work in.
How Does Memorabilia Work - I'm personally hoping that i will be allowed into the Hall on the Friday before the event starts as i want to get some of the set up done before the weekend kicks off proper, It will be a Very early start on Saturday Morning, please take into consideration every one there will be busy setting up their own stalls so it will be very busy. Normally at the rear entrance to the hall everyone unloads and takes their items to their designated space. All this needs to be done before the door opens and the public flood in, Christmas MEM can be notouriously busy, so getting to the event early and setting up is essential.
I will at some point arrange a meeting place close to the NEC, i can then give out passes and we can collectively head to the Hall and help each other unload and set up the displays. but i repeat IT WILL BE AN EARLY START
I think i have covered most things, this is the first time something on this scale has been done for the RPF in the UK so there are bound to be some changes and i dare say hic ups along the way, but what matters is we have a great time meeting each other.
The Saturday Night Social will be held at the Arden Hotel situated on the Coventry Road, Birmingham, it is literally a 10 minute drive from the NEC
