How to Plan a Prop Party

RPfers have had two prop parties this weekend and I see that two more are planned for the first of November.
I know the Carolinas have had one hosted by the Bobadebt Museum a few years back. I'd love to see these become a even more regular RPF pastime.

If some of you guys that have organized and held successful parties can offer some tips, it may help other throw a successful gathering.

Tips on securing a location, invites, sponsors, program guests, contests, prize sources, entertainment, financing, food and beverage, display tables etc. would be helpful to first timers for sure and enhance some of the repeat events. This thread could be archived for future reference.
 
I've been wanting people to have one here in Columbus, OH for a long time now. I know the perfect venue, just no time to organize it myself. I think just getting people to step up and take the lead is the most difficult part.
It would be nice to see these more often and in places that aren't always so damn far away.
 
Its like playing football - if you go half-speed or get timid in the plannning process, you'll get hurt.

I was "full spped ahead" on communicating wth the venue and with the RPF, and getting everything (logistics) secured.

As far as entertainment or activities during, I went sort of "half spped" and didn't fully commit, and as a result ended up with a concept for a trivia contest (with possible prizes) that ended up being half-baked and it fell flat. Thankfully, with great camaraderie, aditional activities weren't necessary -- everyone had a great time.

One tip I received from an RPF staff member was to lock in a date early. They wanted that done before sticking the thread. Once the date is set, then there is an anchor to base all other lanning elements on.
 
I know the one I went to in Michigan was well organized and even had a neat souvenir in the form of a golden ticket.
